Our Policies

COSTS

  • An adult initial naturopathic visit is 60-90 minutes. A pediatric initial naturopathic visit (for children under age 13) is 60-75 minutes. Rates are outlined in the fee schedule below. Visits include a review of health history and previous lab results, nutritional assessment, holistic assessment, basic nutritional counseling, and a foundational treatment plan. Your doctor may also recommend further laboratory testing at this time.

  • Follow-up visits: When deciding to use natural medicine and nutrition to change your health for the better, having your naturopathic doctor support you along the way is essential and will assure that you receive the care and attention needed for optimal health. Most patients are advised to have standard follow-up visits every 4-6 weeks for the first 6-12 months of naturopathic treatment to allow the doctor to monitor progress, review lab results, and provide more elaborate recommendations according to patients' specific needs. Follow up office visit fees vary by provider and a standard follow up is 60 minutes. Other appointment durations are scheduled by provider recommendation and are billed in 15 minute increments with a 45 minute minimum.

  • Additional visits within 4 weeks: Providers may approve a Supplemental Check In if you have been seen in the last 4 weeks and a 2nd visit regarding the same symptoms and treatment plan is indicated. Supplemental Checks Ins are by phone or video, 30 minutes or less, and cost a flat rate of $150 for all providers. Supplemental check ins are scheduled with provider approval only.

  • Between-visit correspondence: If you are an established patient, the doctors are happy to answer brief, clarifying questions regarding your most recent treatment plan via our secure online portal at no extra charge. However, if your case requires new instruction or a new prescription, case analysis, or in-depth correspondence, you will be asked to schedule an appointment. Please do not use email or voicemail to communicate confidential health information.

  • Labs: Varies depending on each individual patient's needs. See here for more information.

  • Natural Medicines/Supplements: During your appointment, your doctor may recommend specific natural medicines for your care. Supplements may be ordered via our online dispensary, Fullscript, or they can be special ordered at the end of your visit and will be shipped to you and arrive in about 3 business days. Cost of supplements vary. If you have budget concerns, please let your doctor know so she can prioritize supplements for you.

PAYMENTS

Payment is due in full at the end of your appointment.

  • All Major Credit Cards are accepted, including American Express and Discover.

  • Health Savings Accounts (HSA): If you have an HSA, Naturopathic consultations, labs and prescribed supplements are allowable, tax-free expenditures and this option is used widely among our patients.

  • Flex Spending Accounts (FSA): Flexible Spending programs also allow for Naturopathic health care deductions. Check with your plan administrators.

  • Insurance Coverage: We are NOT in-network for any health insurance plans. Please let us know if you would like to self submit a claim to your insurance company for potential reimbursement. We will provide you with a coded superbill. Payment in full is still due at the time of your visit.  

INFORMED CONSENT

Prior to your initial visit you will be asked to sign our Informed Consent and Clinic Policies, our Electronic Communications Information and Telehealth Consent, and our Cancellation policy. You will receive electronic copies of these forms to complete when your Patient Portal access is established.

CANCELLATION POLICY

Our cancellation policy allows us to provide the best service to all of our patients and use our clinic’s resources optimally.

While we appreciate 48 hours notice if you need to reschedule or cancel your appointment - you can use the link provided in your appointment confirmation email to easily modify an existing appointment up to 24 hours before your scheduled time.

We understand unforeseeable emergencies do occur, so if an appointment is missed or broken with less than 24 hours notice or no notice is given, a note will be placed in your account.

However, on the second missed appointment—you will be invoiced according to the fees below, and your ability to schedule future appointments will be suspended until your account is paid in full. All subsequent missed appointments even after fees have been paid will immediately result in an invoice being sent and a suspended account.

  • Physical medicine or reiki: $40

  • All other appointments: $75 

SUPPLEMENT AND LAB RETURN POLICIES

Unopened supplements may be returned on a case by case basis, subject to approval. Please contact the front desk in advance to request a return. If approved, credit will be applied towards a future office visit or supplement charge. There is no refund on supplements.

All return requests for uncompleted labs are subject to a $35 returned lab fee, and refunds or credits are subject to the following return windows:

Within 30 days of purchase: either in house credit or refund paid by check mailed via USPS. Please allow 30 days for internal clinic accounting if a refund check is being issued.

Within 90 days of purchase: in house credit

Patients must provide a receipt as well as the original lab orders with their return request. There are no refunds after 30 days. Patients are responsible for following specimen collection instructions for at-home tests; please contact us with questions prior to collection - there are no credits or refunds for user error. Labs are non-transferable. For billing inquires related to labs billed directly by the processing laboratory (e.g. Neurovanna or Spectracell) please contact that company's billing department.

AUSTIN AIR PURIFIERS POLICIES

Be Well Natural Medicine, an authorized dealer of Austin Air, has the following policies regarding the sale of air purifiers.

SHIPPING

Austin Air Purifiers ship out directly from their East coast manufacturer via FedEx Ground or UPS Ground according to the manufacturer’s preference. Be Well Natural Medicine cannot guarantee stock status or shipping arrival time, but will provide you with tracking information once available. A normal, in stock order typically arrives to Minnesota roughly 1 week from order confirmation (major holidays excepted). Residential addresses usually don’t require a signature; business addresses are given up to 3 delivery attempts, subject to the courier’s policies.

Delivery timing: If you are traveling in the week after your potential order, please reach out to our office prior to payment to make specific delivery requests. In exceptional cases, if requested and possible, we can attempt to retroactively postpone the delivery day or adjust the delivery address - there is a $20 fee payable to Be Well Natural Medicine to push order delivery back or alter the shipping address once customer’s orders have been shipped. Please let us know immediately if you must request this by calling 612-440-7710. We cannot guarantee these options. If the window to amend shipping has passed, please see the Returns section. Customer agrees Be Well Natural Medicine is not responsible for unattended deliveries.

RETURNS OR EXCHANGES

We accept returns on Austin Air purifiers no questions asked for thirty (30) days from delivery. Customer pays return shipping (varies by location) as well as a $65 restocking fee. We cannot accept returns at the clinic; they must ship directly from you to the manufacturer.

DAMAGED OR DEFECTIVE PRODUCTS

While unanticipated, shipping damage could be a possible occurrence. Customer agrees to inspect units upon receipt for shipping damage or factory defects, which must be reported to Be Well Natural Medicine in writing within seven (7) calendar days of delivery. Please send documentation to bewellhelpdesk@gmail.com, including tracking number with proof of delivery date, model, color and serial number(s). Be Well will provide customer with a Return Authorization number and return shipping instructions. Austin Air will ship an identical replacement product to you at no charge. Damaged products must be received by Austin Air within thirty (30) days. After that time, there are no returns for any reason. If customer elects not to receive a replacement, there is a $25 restocking fee.

WARRANTY

All Austin Air purifiers come with a 5-year mechanical warranty and a 5-year pro-rated filter warranty. Customer agrees to register their product upon receipt. Find warranty information and register air purifiers here.
